Overview

Most operational inefficiency is invisible from a distance. The team that processes a hundred orders a day appears to be functioning — orders are being processed, customers are receiving their products, the business is operating. What is not visible from a distance is the two hours of manual data entry that each batch requires, the spreadsheet that three people maintain in parallel and that periodically produces reconciliation errors, the approval email that sits unread for a day because the relevant person was in meetings, or the report that takes half a day to produce because it draws from five different systems that cannot query each other directly.

Process analysis identifies these inefficiencies by mapping operational processes in detail — not at the level of the organisation chart or the process diagram on the wall, but at the level of what actually happens, step by step, system by system, person by person. The gap between the documented process and the actual process is often where the most significant inefficiency lives: the workaround that was created three years ago to address a system limitation and that is now a permanent fixture that nobody questions, the manual step that was meant to be temporary and that has become the only way the process works.

Process optimisation uses the process map to identify where automation, better tooling, or structural process changes can reduce the manual effort, the error rate, and the time that operational processes consume. The analysis answers two related questions: where is time and effort being spent unnecessarily, and where is that unnecessary effort creating risk — the manual data entry that introduces transcription errors, the approval process that relies on email and creates no audit trail, the reporting process that produces different answers depending on which analyst ran it and when.

The optimisation recommendations are grounded in what is achievable with the organisation's systems and capabilities, not in theoretical best practices. A recommendation to automate a process is worth something only if the system that would be automated has an API, the team that would build the automation has the capability to do so, and the business case justifies the investment. The recommendations that are implemented are worth more than the recommendations that are aspirationally correct but practically infeasible.
